The first time a client told me he was losing two hours a day answering the same questions over and over on WhatsApp and Messenger, I smiled. Not out of mockery, but because I hear it almost every week. A hair salon manager in Hannut, a florist in Waremme, a garage owner on the Liège road: they all tell me the same story. The same questions, again and again, at the worst moment of the day.
I am an independent web and mobile developer, based in Hannut, with more than 15 years of experience in digital projects. For two years, a big part of my work has revolved around artificial intelligence applied to small businesses. Not the magic version from the adverts, the concrete version: an AI chatbot for SMEs that answers customers while you work, sleep or take a holiday.
In this article, I will show you exactly what an AI chatbot can do for a Walloon SME. Four field-tested uses, what it really costs, which channels to deploy it on, and above all the limits. Because yes, there are some, and I prefer telling you about them before you sign anything. Want a living example? You already have it before your eyes: at the bottom right of this screen, Reda IA is my own assistant. Go talk to him whenever you like.
What an AI chatbot really is
Let us start by defusing the term, because anything and everything gets put behind the word chatbot. There are in reality two very different families, and confusing the two leads to big disappointments.
The scripted chatbot: a tree of buttons
The scripted chatbot is the ancestor. You know the principle: "Press 1 for the hours, 2 for the prices". On a website, it takes the form of pre-programmed buttons. The visitor clicks, the bot answers a sentence written in advance. As long as the customer follows the planned scenario, all is well.
The problem is real life. As soon as a person asks their question in their own words, the scripted bot gets lost. It answers beside the point or displays its famous "Sorry, I did not understand". That frustrates, and it gives your business a cobbled-together image. For very simple needs, it helps out. For anything else, you hit its limits fast.
The AI chatbot: it understands natural language
The AI chatbot, on the other hand, rests on a large language model. Concretely, it understands the meaning of a sentence, even badly written, even with mistakes, even in a mix of languages. You write "are you open Sunday morning?" or "does your place run on Sundays?", it understands the same intent and answers correctly.
Better: it is contextual. It remembers what you said two messages earlier. If a customer asks "and for two people?" after talking about a menu, the bot knows what they mean. That difference changes everything. You are no longer talking to a machine that recites, but to an assistant that follows the conversation.
The distinction to remember
A scripted chatbot follows buttons and fixed rules: rigid, but predictable and cheap. An AI chatbot understands natural language and context: flexible and impressive, but it must be well framed to stay reliable. For an SME receiving varied questions, AI is almost always the right choice.
Reda IA, my assistant on this website, is an AI chatbot. Ask him a twisted question, rephrase, change subject mid-conversation: he follows. It is exactly the type of experience that can be installed at your place, adapted to your activity and to the way you talk to your customers.
1. Answering customer questions 24/7 and qualifying prospects
It is use number one, by far. The majority of messages an SME receives are simple questions: hours, address, prices, availability, payment methods, parking. Always the same. An AI chatbot answers instantly, at 10pm as at 7am, without you lifting a finger.
Let us take a concrete case. A Hannut bakery receives, every evening, messages like "do you make birthday cakes?", "how far in advance do I need to order?", "do you have gluten-free?". The manager reads them the next morning, in the middle of the rush. With a well-tuned bot, the customer has their answer at 9pm, and they come back the next day instead of going elsewhere.
Qualifying instead of just answering
But answering is not enough. The real gain is qualification. A good AI chatbot does not just reel off information: it asks the right questions in return. For a tradesman, it will ask the type of works, the municipality, the desired timing. When you pick up the conversation, the prospect is already half qualified.
- Automatic sorting: the real commercial enquiries rise to the top, the curious and the cold callers stay at the bottom of the pile.
- Contact details collection: the bot politely asks for a name, a number or an email so you can call back.
- Immediate answer: a prospect who gets an answer within the minute is far more likely to stay with you than if they wait until the next day.
Response speed counts enormously. When someone looks for a physio or a garage, they often write to three or four businesses at once. The first to answer clearly gets the appointment, nine times out of ten. An AI chatbot puts you at the top of the list, even when your hands are in the engine. If you are still hesitating between a real website and a mere social presence, my article website or Facebook page will help you lay the foundations before adding an assistant.
A point often forgotten: the bot does not tire and never gets its mood wrong. On Friday evening, after a heavy day, you perhaps answer more curtly without meaning to. The bot keeps the same warm tone at any hour. For your business's image, that is far from a detail. Every first contact stays impeccable, and it is often that first contact that decides whether the customer pushes your door or the neighbour's.
2. Taking appointments and handling bookings
Here is the use that saves the most measurable time. How many calls do you make, per week, just to pin down a time? A salon, a physio practice, a restaurant, a hairdresser: appointment taking is a bottomless well of small interruptions. And every interruption breaks your concentration on the real work.
An AI chatbot connected to your diary handles all of that. The customer asks for a slot, the bot proposes the real availability, confirms, and adds the appointment to your calendar. It can even send a reminder the day before to reduce the no-shows, which cost dearly when a slot stays empty.
Concretely, what does that look like
Imagine a restaurant in Namur. On Friday evening, the phone rings non-stop during service. With a booking bot, the customer books their table chatting as with a human: "a table for four Saturday around 8pm". The bot checks, proposes, confirms. The waiter no longer leaves the dining room to pick up.
- The customer expresses their need in natural language.
- The bot queries the diary in real time and proposes free slots.
- It gathers the useful information: number of people, name, contact number.
- It confirms and records, then sends an automatic reminder.
This use closely joins the automation of exchanges. If you handle many enquiries by messaging, have a look at my guide on WhatsApp automation: combined with an AI chatbot, the time saved becomes genuinely visible over a working week.
3. After-sales support and automated multilingual FAQ
The third use is more discreet, but formidably effective: after-sales support. Once the sale is made, the questions do not stop. "How do I maintain this?", "what is the delivery time?", "how do I return an item?". Answering all that is time you do not bill.
An AI chatbot plugged into your knowledge base answers these questions reliably, drawing on your real information. Not on generalities out of nowhere, but on your terms, your products, your procedures. That is what is called anchoring the bot in your documents: it only answers according to what you have supplied it.
Multilingual, an underestimated asset in Belgium
And here, AI does something a scripted bot will never do easily: it switches language on the fly. In Belgium, that is precious. A customer writes to you in Dutch, the bot answers in Dutch. A tourist writes in English, it answers in English. You, you only wrote your FAQ once, in French.
A shop in Waremme near the language border told me half of its messages arrived in Dutch. Before, the owner answered with an online translator, slowly. Now the bot handles it, and he concentrates on the customer relationship in the shop.
For the truly frequent questions, the bot replaces a static FAQ page nobody reads to the end. The customer asks their question, gets their answer, full stop. It is more natural and it unclogs your inbox. On the data protection side, know that as soon as a bot collects personal information, it must respect the European framework: remember to inform your visitors clearly, as the European regulation on personal data protection requires.
4. Assisting the team internally and document search
Everyone thinks of the customer, but the fourth use looks inward. An AI chatbot can also become your own team's assistant. And frankly, that is often where the time savings surprise most, because nobody thought of it at the start.
In an SME, information is scattered: procedures in a binder, prices in an Excel file, instructions in old emails. When a new employee arrives, or when someone looks for a precise piece of information, it turns into a treasure hunt. An internal bot anchored on your documents answers within seconds.
Very concrete examples
- Garage: "what is the procedure for a courtesy vehicle?" The bot pulls out the internal instruction without disturbing the workshop manager.
- Local estate agency: an agent asks the bot for the details of a mandate or an email template, and gets it right away.
- Restaurant: a new waiter asks for a dish's composition or the allergens, and has the exact answer on the floor.
It is not reserved for large organisations. Even a team of three gains from it, because it reduces the "do you know where... is?" that interrupt everyone. The bot becomes a shared memory, always available, that never goes on holiday. And the more your business grows, the more that memory is worth gold.
This internal use is also the most reassuring way to start. Since the bot only talks to your team, you can test it without any risk to your image. You quickly see what it does well, you correct what is off, and the day you open it to customers, it is already run in. It is an ideal entrance door to AI when you want to move forward prudently, step by step, without a risky bet.
The 4 uses at a glance
1) answering customers and qualifying prospects day and night, 2) taking appointments and handling bookings, 3) providing after-sales support and a multilingual FAQ, 4) assisting your team and finding information internally. Four different levers, one same result: time given back to what really counts in your trade.
How much an AI chatbot costs for an SME
Let us talk money, because that is the real question. And I will be direct, as always on this subject of prices in Belgium. An AI chatbot is not free, but it costs far less than people imagine, especially relative to the time it frees up.
The two cost items
There are always two lines to distinguish. First the installation, which is a one-off cost. On my side, the installation of an AI chatbot starts from €390. That covers the configuration, the training on your information, the branding in your website's colours and the go-live. It is custom work, not a copy-paste.
Then the monthly subscription, from €49 per month. This line is normal and unavoidable: it covers the language model's API costs (each conversation has a small real cost), the hosting, the monitoring and the adjustments. Beware, by the way, of offers without a subscription: either they hide the costs, or the bot is left abandoned.
- Installation: from €390, one-off payment, configuration and training included.
- Subscription: from €49 per month, for the API, the hosting and the follow-up.
- No surprises: we set the scope together before starting, and the quote is clear.
Is it worth it? Do the maths simply. If the bot saves you even one hour a day, and recovers two or three customers per month who would have gone elsewhere, the subscription is amply paid back. For an SME, it is one of the digital investments with the best ratio of time gained per euro spent. You can in fact discuss it directly via the contact section, I send you a free quote within 24 hours.
A final word on the prices blooming online. Beware of the self-service solutions at a few euros per month: they exist, but they leave you alone with the configuration, without training on your real data and without anyone to correct the errors. The bot ends up answering beside the point, and you switch it off after three weeks. Conversely, some agencies bill thousands of euros for the same thing. My approach remains that of a web craftsman: a fair price, careful work, and a single point of contact you can reach.
On which channels to deploy your AI chatbot
An AI chatbot is not necessarily just a little bubble on your website. The same brain can answer in several places, wherever your customers already are. The right choice depends on your clientele and on where they naturally write to you.
The website
It is the base. The widget at the bottom right, like Reda IA here. It catches visitors at the exact moment they have a question, which is the moment they hesitate to contact you. It is also the simplest channel to master, because it lives at your place. You still need a solid professional website to host it: if you are starting, start there.
In Belgium, WhatsApp is king for local commercial exchanges. An AI chatbot plugged into WhatsApp answers directly in the app your customers use every day. For a tradesman, a restaurant, a neighbourhood shop, it is often the channel that converts best, because it is familiar and fast.
Instagram and social media
If your business lives a lot on Instagram (fashion, beauty, food, decor), connecting the bot to the private messages makes sense. The questions arriving in DMs ("is this still available?", "do you deliver?") get an immediate answer, even when you are not behind the screen. It turns a curious comment into a real customer.
My advice: do not scatter yourself from the start. Choose the channel where your customers write to you the most, make it work impeccably, then extend. An excellent bot on one channel is worth more than three average bots everywhere. And if you target a precise local clientele, for example around Huy and the Huy region, we can adapt the tone and the answers to your catchment area.
How to deploy an AI chatbot well, step by step
A successful AI chatbot is not a button you switch on. It is a thought-through setup, otherwise it disappoints. Here is the method I apply, simplified, so you know what to expect.
- Define the scope. We list what the bot must know how to do, and above all what it must not do. A bot that knows how to say "I am passing this to Reda" is more reliable than a bot that invents.
- Gather your information. Hours, prices, FAQ, procedures, your brand's tone. The cleaner the material, the better the result. It is the most important step.
- Train and frame. We feed the bot with your documents and define its character: polite, warm, direct, according to your image.
- Test in real conditions. We ask it twisted questions, we try to trap it, we correct. That is where reliability is won.
- Go live and monitor. We observe the real conversations in the first weeks and adjust. A living bot improves over time.
That last step, the follow-up, makes all the difference. It is also why the subscription exists: an abandoned bot goes stale, the way a website untouched for years ends up deserving a rethink of your online presence. On the technical side, good tuning also improves the experience Google values, in the spirit of the good practices described in the official recommendations on helpful content.
The mistakes to avoid with an AI chatbot
Now, the honest part. An AI chatbot is not magic, and certain mistakes come back all the time. Better to know them before diving in, it will spare you disappointments and wasted money.
Wanting to replace the human 100%
It is mistake number one. A bot does not replace your customer relationship, it prepares it. It filters, it answers the simple, it qualifies. But when a customer has a real problem, or when selling is required, the human remains irreplaceable. The good bot knows how to hand over at the right moment, and to say so clearly.
Letting it invent
A badly framed language model can assert false things with aplomb. It is the major risk. The countermeasure exists: anchor the bot strictly on your information and forbid it from answering when it does not know. Better an "I am passing your question on" than an invented answer that embarrasses you.
Forgetting the tone and the follow-up
- A robotic tone: if the bot talks like a manual, customers feel it. It must reflect your personality.
- No human relay: a bot without an exit door towards you is frustrating. It must always be possible to reach a real person.
- No follow-up: never rereading the conversations means missing nuggets of information about your customers.
- Transparency: tell the visitor they are talking to an assistant. People accept it very well when it is clear and it helps them.
Reda IA, on this website, applies exactly these principles: he announces that he is an assistant, he answers on what I taught him, and he offers to put you in touch with me as soon as something exceeds his scope. That is what an honest, useful AI chatbot for an SME is. Not a gadget, a real digital colleague. To go further on the overall digital strategy, also browse my services and the rest of the blog.
